Private by design
This page does not ask for accounts, does not include a data-entry form, does not store files, and does not send your entries anywhere. Do the review in your own internal systems.
Checklist
High-signal areas to review
Duplicate or near-duplicate charges
- Same vendor, amount, and date charged more than once.
- Invoice number reused across separate payment entries.
- Card payment and bank transfer both recorded for the same invoice.
Unused credits and credit memos
- Credit notes issued but not matched against later invoices.
- Prepaid balances left after account closure or downgrade.
- Service-level credits promised after incidents but never applied.
Renewal and cancellation mismatch
- Renewal occurred after a documented cancellation request.
- Annual plan renewed while internal owner had left or project ended.
- Auto-renewal price differs from the signed quote or public order form.
Scope, seats, and downgrade gaps
- Paid seats exceed active users for several billing periods.
- Downgrade or feature removal did not reduce the invoice.
- Tax, shipping, or processing fees duplicated across revised invoices.
Process
A lightweight review workflow
- Pick a bounded period, such as the last quarter or last renewal window.
- Group vendor records by supplier, account owner, invoice number, amount, and payment date.
- Flag only issues with documentary support; avoid assumptions about entitlement.
- Verify contract terms and official vendor billing rules before making a request.
- Send concise, factual messages with invoice references and requested correction.

Accounts payable SQL starter
Find review candidates before sharing anything externally
The SQL starter pack is designed for private, authorized AP exports. It flags duplicate invoice numbers, same-day same-amount repeats, and credit or cancellation signals that deserve manual review.
- Run it only in your own private database or local analytics workspace.
- Use the result as a review queue, not as proof of overbilling or refund entitlement.
- Do not post supplier names, invoice numbers, account IDs, bank details, personal data, pricing terms, or contract text in public requests.

Public review request
Ask for a checklist sanity check without sharing private records
If your team has a generalized vendor-billing workflow and wants to know whether the checklist covers it, open a public review request. Keep the request sanitized: describe the process, not the supplier, account, invoice, contract, or person behind it.
- Good: “annual software renewals with unused seats and cancellation confirmations”.
- Do not include company names, vendor names, invoice numbers, account IDs, personal data, pricing terms, or contract text.
- No refund, saving, recovery, response time, or outcome is guaranteed.

Fixed-scope review
Scope a lightweight refund leakage review before sharing any records
Teams that need a practical next step can request a sanitized public scope outline. The outline is limited to the review plan, evidence categories, and safe handoff checklist; it is not a review of private invoices, contracts, bank records, supplier names, account identifiers, pricing terms, tax positions, or personal data.
- Use generalized workflow descriptions only, such as renewal tracking, unused credits, duplicate invoice checks, or cancellation evidence.
- Do not include confidential data, personal data, vendor names, invoice numbers, account IDs, bank details, pricing terms, contract terms, tax details, or live files.
- No refund, saving, recovery, response time, engagement, or outcome is guaranteed.

Important limits
- This checklist is educational and operational, not legal, tax, accounting, or financial advice.
- Refund rights and vendor obligations depend on contracts, jurisdictions, tax treatment, and the facts of each account.
- No refund, saving, recovery, or outcome is guaranteed.
